Privacy Policy
The Privacy Policy of Pickering Hood Cleaning is a plain statement of what this website gathers from a visitor, where that information is sent, how long it stays on file, and how to see it, fix it or have it erased. It follows the Personal Information Protection and Electronic Documents Act (PIPEDA), the federal privacy law that applies to a Canadian business collecting personal details in the course of trade. The only information gathered on purpose is what a kitchen owner in Pickering or Ajax types into the quote form. This version took effect in September 2026.
What the quote form asks for
Five details you type. A name, a phone number, an email address, the name of the restaurant or kitchen, and a message saying what the exhaust system needs. All five are required, because a request with a missing phone number or email cannot be answered. The identical form sits on the homepage and on the contact page.
Details the page attaches on its own. At the moment you submit, the page adds the web address and title of the page you were reading, a label saying whether the homepage form or the contact form was used, and a timing value set when the page first loaded. That timing value exists to catch a submission that arrived faster than any person could fill five boxes, which is a sign of an automated bot. On arrival the server stamps a time and a short reference code so a second tap on the button reads as the same enquiry, not a new one.
A decoy field. One box on the form is invisible to a person and stays blank. A submission that arrives with that box filled came from a script, and the server discards it. A real visitor leaves no trace in it.
Never asked for. No page on this site requests a credit card number, a bank account, a driver licence, a health card or any other government identifier. A message that volunteers one of those is answered with a request to leave it out.
Where the details travel
First stop: a Netlify serverless function. Your browser hands the form to a small piece of code that runs under this domain on Netlify. That code reads the decoy field, checks the timing value, confirms all five details are present, tests that the phone number carries ten digits, and refuses any submission that did not originate from a page on this website.
Second stop: the GoHighLevel CRM. A submission that clears those tests is passed to the customer relationship management system used by Pickering Hood Cleaning and the crew that performs the work. The details become a contact record and raise an alert. Someone then phones, texts or emails you to talk about the quote. That conversation is the whole reason the record exists.
What is not done with it. The record is never sold, traded, rented to a marketing company, or shared with an advertising platform. No arrangement to pass leads to another contractor exists. The only messages that come from the record are the ones that answer your enquiry or confirm a visit you asked for.
Servers outside Canada. Netlify and GoHighLevel run on infrastructure that may be located outside the country. PIPEDA allows a Canadian business to use such providers when the information is covered by contractual protection, and each provider publishes its own privacy and security commitments.
How long a record stays, and your rights over it
Retention. An enquiry that does not turn into a booking is held only long enough to reply and to recognise a repeat call from the same kitchen. A completed visit is treated differently. The signed certificate and its photographs are safety documents a kitchen may need to show Pickering Fire Services, Ajax Fire and Emergency Services, an insurer or a future buyer of the business, so they stay on file together with the contact details needed to send a copy again.
Access. PIPEDA gives you the right to ask what personal information a business holds about you. Phone 289-278-7261 or write through the contact form and a copy of your record is sent to you.
Correction. An outdated phone number, a changed email or a misspelled business name is fixed as soon as you point it out.
Deletion. Contact details are erased when you ask. The single exception is a certificate for a visit that was actually carried out, which is retained as a safety and business record. The reason is explained at the time, and the rest of the request is honoured.
Escalation. Start with a phone call, since most concerns end there. Any person in Canada who believes a business has mishandled personal information may also file a complaint with the Office of the Privacy Commissioner of Canada.
Cookies, the chat widget, hosting logs and outside links
Cookies. The site places no cookies or local storage of its own. It carries no Google Analytics tag, no advertising pixel, and no script that follows a visitor to other websites.
The chat widget. A live chat panel from GoHighLevel (LeadConnector) may appear on some pages. If it loads, it stores a small token in your browser so a conversation survives moving from one page to the next, and whatever you type into it lands in the same CRM as the form. Use it the way you would use an email: nothing you would not write in one belongs in it. The widget is optional, and the phone number and form do everything it does.
Hosting logs. Netlify serves the site and Bunny CDN mirrors it. Each keeps ordinary server logs (IP address, browser, page requested, time) for security and uptime. Those logs belong to the hosting companies, are not compiled by Pickering Hood Cleaning, and are not used to build a profile of any visitor.
Links that leave this site. Pages link to the services page, the NFPA 96 guide and other pages on this domain, and now and then to an outside body such as a fire service or the Durham Region Health Department. After you follow one of those links, the privacy rules of the destination apply.
Changes. When the way information is handled changes, this page is updated and the effective date at the top moves with it. The version published here is always the version in force. The conditions a cleaning visit runs under are set out separately in the terms of service, and the about page describes the crew that does the work.
Privacy: frequently asked questions
Why does the submission record which page I sent it from?
Page attribution tells the business whether the homepage or the contact page produced the enquiry. Both carry the same form, and this label is the only way to know which one a kitchen used. It sits on the contact record and serves no other purpose.
Is the timing value a way of identifying me?
No. The timing value is a number tied to when the page finished loading. The server compares it with the moment of submission to reject an entry that was too fast for a human or that came from a page opened many hours earlier. It carries no personal detail and is not written to the contact record.
Will I get text messages after using the form?
A text is possible, because the crew often confirms an overnight window by SMS since it is quicker than a voicemail. Replying with the word stop to any message, or saying so on the phone, ends the texts. The record is never enrolled in an automated marketing sequence.
Does the chat widget follow me to other websites?
No. The GoHighLevel widget stores its token on this domain alone, so a conversation continues as you move between pages here. Its provider publishes separate privacy terms, and you can ignore the widget entirely. A phone call to 289-278-7261 reaches the same person.
How do I have my details erased?
Phone 289-278-7261 or send the request through the contact form, and the contact details come off the system. If a cleaning visit took place, the certificate for that visit is kept as a safety record, and that one exception is explained to you rather than used to turn down the rest of the request.
